Customers represent the people who interact with your business — whether they browse, sign up, or make a purchase. Crevio automatically creates and manages customer records so you always have a clear picture of your audience.

Customer types

Every customer is classified into one of three types. Crevio assigns and updates the type automatically based on the customer’s activity.
Customer types update automatically. When a lead creates an account, they become a free customer. When a free customer makes their first paid purchase, they become a paid customer.

How customers are created

Customers are added to your account through several channels:
  • Checkout — When someone completes a purchase (paid or free), Crevio creates a customer record using the buyer’s name and email address.
  • Waitlist sign-ups — When a buyer joins a waitlist for a sold-out product, a lead customer is created.
  • Forms — Everyone who fills in one of your forms is added as a lead.
  • Bookings — Someone who books a call or session with you is added as a lead.
  • Import — Upload a CSV file from the Customers page to add many at once.
  • API — You can create customers programmatically through the Crevio API.
Each customer is uniquely identified by their email address within your account. If someone checks out with an email that already exists in your customer list, Crevio links the order to the existing record rather than creating a duplicate.

Searching and filtering customers

The Customers page in your dashboard lists all customers in your account. You can search by name or email to quickly find a specific person. Each customer in the list shows:
  • Name and email address
  • Customer type (lead, free, or paid)
  • Number of orders
  • Total spend
  • Tags
  • Date added

Customer details

Click on any customer to view their full profile. The detail page shows:
  • Order history — Every order the customer has placed, including line items and status
  • Total spend — The sum of all successful order amounts
  • Average order value — Total spend divided by total order count
  • Contact information — Name, email, and phone number (if provided)

Customer tags

Tags let you organize and segment your customers. You can assign one or more tags to any customer to group them by interest, purchase behavior, campaign source, or any other criteria you choose. Tags are unique within your account — creating a tag with the same name as an existing one reuses the existing tag rather than creating a duplicate.
Use tags to build segments for targeted outreach. For example, tag customers who purchased a specific product so you can notify them about related launches.

Self-service billing

Every customer gets a hosted billing page for their account with you — no setup required. From the Billing link in their account on your site, a customer can:
  • Cancel or renew an active subscription
  • Update the card on file
  • Edit their billing address
  • Download a PDF of any past invoice
They sign in with a one-time link sent to their email, so there’s no password to manage or reset. This means customers can handle most billing requests themselves instead of emailing you.
If a customer emails you asking to update their card or cancel, just point them to the Billing link in their account on your site — they can sign in and take care of it themselves.

Exporting customers

You can export your entire customer list as a CSV file from the Customers page. The export includes all customer fields — name, email, customer type, order count, total spend, and tags. This is useful for importing into email marketing tools, CRMs, or spreadsheets for further analysis.

Deleting customers

Open a customer and choose Delete from the menu. The customer disappears from your lists right away. After 30 days, Crevio permanently erases them together with:
  • Their notes and contact details
  • Their form submissions and answers
  • Their bookings, call history and call transcripts
  • Their support chats with your assistant
  • Every email they sent you or received from you, including attachments. In a conversation with other people, only their messages are removed.
  • The record of which email campaigns were sent to them
During those 30 days you can change your mind: ask Crevio in chat to restore the customer. After that, nothing can be recovered. A customer can’t be restored if someone with the same email address has been added in the meantime.
Customers with orders can’t be deleted, because orders are records you need to keep. Anonymize them instead (see below).
What is kept on purpose:
  • Invoices. They stay as accounting records, without the link to the customer.
  • Opt-outs. If the person unsubscribed from your emails, their address stays on your do-not-email list so they aren’t emailed again by mistake. If they withdrew permission to be called, the record of that is kept as proof.
What deletion does not reach:
  • Your assistant’s memory. If Crevio wrote something about the person into its notes or files, ask it to remove that too.
  • Backups. Crevio doesn’t edit its backups; old copies expire on their own over time.
If the person contacts you again later, for example by filling in a form, they come back as a new customer with no history. If that happens within the 30 days, their emails with you are kept, because they now belong to the new customer.

Anonymizing customers with orders

When someone who bought from you asks to have their data removed, open them and choose Anonymize from the menu. It happens right away and can’t be undone:
  • Their name, email address, phone number and notes are removed. The customer shows as Anonymized.
  • Their form submissions, bookings, calls, support chats and emails with you are erased, the same as when you delete a customer.
  • Their orders and invoices stay for your records, without their name, email or address.
Anonymizing removes their login link to your store, so they can no longer sign in to what they bought.

Deleting inactive leads automatically

You can have Crevio delete leads you haven’t been in touch with for a while. This only applies to leads: people without an account, such as form and waitlist sign-ups. Free and paid customers have an account and may have access to your products, so they are never deleted automatically. Privacy laws such as the GDPR in Europe expect you to keep personal data only as long as you need it, and this setting helps you do that. It isn’t legal advice: check the right period for your business.
  1. Go to Settings and open Legal.
  2. Under Data retention, turn on Delete inactive leads.
  3. Enter the number of days without contact, at least 30. Before you save, Crevio shows how many leads would be deleted today.
  4. Click Save.
Once a day, Crevio deletes every lead who has had no contact for that long. They are permanently erased 30 days later, exactly like a customer you delete by hand, so you can still restore someone in between. What counts as contact: a form submission, a booking, a call, a checkout, or an email between you and that person, in either direction. Email campaigns don’t count, so a subscriber who only receives your newsletter is deleted once the period runs out. Leads with orders (for example from a guest checkout) are never deleted automatically. You can also ask Crevio in chat to set this up, or to tell you who would be deleted at a given period.
